INFORMATION COLLECTION PRACTICES
When Individuals Submit Personal Information Inquiries
When you submit an inquiry to Goodmail we may collect contact information such as name, mailing address, email address and phone number(s). We also use email links located on the "Contact Us" page and other areas of the site to allow you to contact us directly with any questions or comments you may have. We attempt to read all messages and try to respond with direct answers to your questions or comments.
Automatic Collection - Website
When you visit our website, our computers may automatically collect statistics about your visit. This information does not identify you personally, but rather identifies information about a visit to our site. We may monitor statistics such as how many people visit our site, the user's IP address, which pages people visit, from which domains our visitors come and which browsers people use. We use these statistics about your visit for aggregation purposes only. These statistics are used to help us improve the performance of our website.
Cookies
Goodmail may use cookies from time to time. A cookie is a small amount of data stored on the hard drive of a computer that allows someone to identify the computer with corresponding data that resides in a database. Goodmail may use cookies to personalize your pages at our website, to remember you when you register for products or services and to show you Goodmail-related information on other websites. If you do not want Goodmail to deploy cookies in your browser, you can set your browser to reject cookies or to notify you when a website tries to put a cookie in your browser software. INFORMATION COLLECTION PRACTICES – OUR SERVICE
Unsubscribing from a CertifiedEmail Sender Mailing List
When submitting feedback or an unsubscribe request, we may collect certain information, including your email address, email provider, Internet service provider (if different from your email provider), sender of the email, and headers of the CertifiedEmail message from which you are unsubscribing or about which you are reporting. This information is used to track your feedback and unsubscribe requests (ensuring there is a record of your request or report), to determine an email Sender's compliance with Goodmail's policies, to allow the applicable Sender to fulfill your unsubscribe request, and to provide feedback to the Sender about its mailing practices. If you elect to unsubscribe from a Sender’s email list using the CertifiedEmail service, we will provide the Sender with your email address. Senders are contractually bound to honor unsubscribe requests transmitted to them in this fashion. If you are using a pop or IMAP email client, in order to make our service secure and useful for end users, feedback and unsubscribe requests will be communicated to your email provider.
When Applying for and Accessing a CertifiedEmail Account
When applying for a Goodmail CertifiedEmail Account (an "Account"), Senders may be asked to provide personal (a contact's email address) and company information including company name, type, message volume, number of clients, and Website URL and other company information for the limited purposes of authenticating corporate identity in order to create an Account, and to provide the services that may be part of such Account.
Validating Identity
Certain types of Accounts require that Goodmail compare some of the information in the application to information contained in a third-party database or other third party sources. Goodmail does this in order to authenticate the corporate identity and other attributes, and also to prevent identity theft. In certain limited situations, Goodmail has contracts in place permitting the third-party database to disclose the information to its subcontractors or affiliates, but only for authenticating corporate identity and only in accordance with confidentiality agreements.
Creating and Accessing Accounts
Goodmail creates Accounts for Senders who have qualified for accreditation using the email address provided in the accreditation process. When a Sender accesses its account in the MailCenter, a "secure session" is established with the Goodmail operations center using Secure Socket Layer (SSL) authentication and encryption. Each account is protected by a password to help ensure that data is safe, secure, and available only to those authorized to use the service. The Goodmail operations center then uses this "secure session" while the account is being accessed.
Sending CertifiedEmail
The process for sending CertifiedEmail messages is designed to protect the privacy interests of email recipients. When participating Senders attach tokens to outgoing email messages to indicate the message has been certified and safe to bypass ISP filters, Goodmail receives neither the recipient address nor the message body in creating the token for each message, thus protecting the recipient's privacy. The only exception to this process is when a recipient provides feedback or submits an unsubscribe request. In this case, Goodmail receives the user information in order to track sender compliance with the end user feedback. (See Unsubscribe practices above.)
Automatic Collection - MailCenter
During a secure session in the MailCenter, Goodmail may track information about Sender activity such as the creation of new users within an account, token purchases, and Account status so a Sender may be apprised of activity that has taken place within its Account. Goodmail does not track Sender behavior such as number of visits to the site, pages visited, etc. When a Sender applies for accreditation, our computers may automatically collect information as it is entered as well as the Sender's progress through the form to submission.
SECURITY SAFEGUARDS
We use industry-standard physical, electronic, and procedural security safeguards to protect all information that is provided to us from loss, misuse, or unauthorized alteration. It is also our policy to prohibit employees from accessing personally identifiable information unless there is a business reason to do so. Whenever we prompt you to transmit sensitive information such as a credit card number to us through our Web sites, we support encryption of your data as it is transmitted.
Goodmail works with third parties to provide payment services. We strive to provide our subscribers with a high level of privacy and security and therefore require that our third-party providers meet all data protection requirements required by state and federal law.
OPT-OUT POLICY
If individuals do not wish to continue receiving communications we may send to you, you can opt-out of receiving these communications by replying to the unsubscribe in the subject line in the email. Or, if you are a CertifiedEmail Sender and would like to change preferences for information that have previously been provided, you may use your MailCenter account to make changes to your existing preferences.
SPECIAL SITUATIONS THAT MAY REQUIRE TRANSFER OR DISCLOSURE
Sale of a Business
Information may be transferred in connection with a sale, merger, transfer, exchange, or other disposition (whether of assets, stock, or otherwise) of all or a portion of a business of Goodmail.
For Legal Reasons
In some cases we may be required to disclose certain information to comply with the law, an investigation, or a legal process, such as a court order, subpoena, search warrant, or law enforcement request. Questions regarding this Privacy Statement should be directed to privacy@goodmailsystems.com. Please specify "Privacy Statement" in the subject line of your e-mail.
